    Create your account & venue

Register, confirm your email, describe your venue and get it verified so it can go live.

    Last updated

Anyone who runs an escape room can register. You do not need an invitation. Your account starts as the owner of your first venue. If a colleague invited you instead, you do not register: follow the link in your invitation email (see Team & roles).

    Register as a host#

    1. Open the registration form

On the dashboard sign-in page, under New host?, choose Register as a host.

    2. Enter your company

Fill in the company name (as registered), a phone number, the street address, the postal code, the city and the country. MyEscapeRoom uses these to reach you about your account. Players do not see them.

    3. Enter your own details

Your name, your email (it is your sign-in) and a password of at least 8 characters, typed twice.

Registration: your company on top, you as the owner below.
The Register as a host form
    4. Choose Register and confirm my email

Any mistake is shown at its field before anything is sent. You land on a page that asks you to check your inbox.

    Confirm your email#

We send a confirmation link to the address you registered with. Open it on the device you are using. It confirms your address, signs you in and takes you to the setup.

    • The link works for 24 hours.
    • An expired or incomplete link shows “That link has expired” or “That link does not work”. Enter your email there and we send a new one.
    • Nothing in your inbox after a few minutes? Check spam, then choose Send the link again on the “Check your inbox” page. It says the same whether or not the address has an account, so nobody can use it to find out who is registered.

    Set up your venue#

After you confirm your email, setup is not optional: until it is finished the dashboard sends you back to it. Everything is saved as you enter it, so you can sign out and carry on later from where you stopped. The steps are:

    1. Company and account (done when you registered)
    2. Your venue
    3. Your rooms
    4. Invoicing and Peppol, for Belgian companies only
    5. Payments (Stripe), then submit
The step list at the top shows where you are. This is the venue step.

    Your venue#

This is the profile players read once the venue is live. If you run more than one venue, start with one. You can add the others after it has been verified.

    FieldWhat to enter
Venue nameWhat players will look for.
About the venueWhere it is, what makes it special, what players should know. At least 20 characters.
Street address, City, CountryStart from your company's address, which is often the same building. The address puts your venue on the map and decides its time zone.
Phone for playersPublished on your listing.
Email for players (optional)Published on your listing. It is never your account email unless you type it here.
Photos of the venueAt least one, up to 10. The entrance, the lobby, the street. The first is the cover. JPEG, PNG or WebP, up to 8 MB each.

Choose Save and add rooms. You can come back with Edit venue as long as you are still in setup.

    Your rooms#

Add at least one room. Each room has its own story, group size, game duration, price and photos, all explained in Rooms. You can add more rooms with Add another room, or take one off again with Remove.

    Invoicing and Peppol (Belgian companies)#

If your company is in Belgium, two more steps follow: your VAT details and the invoicing mandate, then Peppol e-invoicing. You can carry on while Peppol is being checked, which can take a few days. Details in Invoicing & VAT profile.

    Payments#

Choose Connect Stripe. You continue on Stripe's own pages and come back here. To submit you only need to have started. Stripe's own check can take days and only decides when your venue can go live. Details in Connect Stripe & get paid.

    Submit for verification#

Choose Submit and open the dashboard. The button stays off until you have at least one room, and, where they apply, saved your invoicing details, activated Peppol and started Stripe. A short line under the button says which one is missing.

    While you wait for verification#

Your venue is now awaiting verification. A notice at the top of every dashboard page says so, and the venue switcher shows the same label next to its name.

The notice at the top of the dashboard while a venue is awaiting verification.
The Awaiting verification notice with the next step for Stripe
    • Players cannot see the venue or its rooms yet. We check every new venue by hand, and email you as soon as it is live. If we have a question, we get in touch with the contact details on your account.
    • Your venue goes live once we have checked it and Stripe is active. Belgian venues also need Peppol to be set up. The notice shows any step still open.
    • You can use the dashboard in the meantime: set up each room's schedule, finish Stripe and invite your team.

A venue can be in one of four statuses: draft, awaiting verification, live or suspended. They are explained in Key concepts.

    Managing more than one venue#

One company can run several venues. Open DashboardSetupVenues to see all the venues you belong to, each with its status, city, time zone and number of rooms.

    1. Add a venue

Choose Add venue (or Add a venue in the venue switcher). Only an owner can add a venue. Fill in the same form as in setup and choose Create draft venue.

    2. Follow the checklist on its card

A new venue is a draft, which players cannot see. Its card shows what is left: add at least one room, connect Stripe, then choose Submit for review. Every venue is checked by hand, just like your first.

    3. Switch between venues

At the top of the left-hand menu, the venue switcher shows the venue you are working in, your role there and its status when it is not live. With more than one venue it opens a list: choose a venue and every page now shows that venue. It remembers your choice.

The Venues page lists every venue you belong to.
The Venues page with two venues, one live and one draft with its checklist

Each venue has its own rooms, its own Stripe account, its own team and its own status. Your role is per venue, and your invoicing details are shared by the whole company.

    Venue settings#

Open DashboardSetupSettings to change your venue later. It is for the owner. An admin sees only the Notifications card.

Settings, as the owner sees it.
The Settings page with the venue profile, contact details and payment policy
    SectionWhat you can change
Venue profileVenue name, street address, city and country.
Contact details for playersA contact email and phone shown on your listing. Leave one blank to publish neither. This is separate from the email you sign in with.
Payment policyHow players may pay: Online only, Pay at the venue or Both. A room can override it under Per-room overrides. The page also states the current service fee.
Booker detailsWhether the booking form asks for a phone number: required, optional or not asked. Name and email are always asked. It applies on MyEscapeRoom and in your booking widget.
Player cancellationsUntil when players may cancel on their own: not at all, until the game starts, 24 hours, 48 hours or 7 days before. See Cancellations & refunds.
StaffingWhether players only see sessions a host can work. See Host availability & staffing.
InvoicingBelgian companies only. See Invoicing & VAT profile.
NotificationsWhether you get an email when a booking is made or cancelled. Just for you, per venue.

Choose Save changes at the bottom of the venue sections. The notification switches save as you flip them. The venue's description and photos are entered during setup. Settings does not offer them.

    Time zone#

You never choose a venue's time zone. It is worked out from the venue's address (and the country when the address cannot be placed), and the Venues page shows it. Session times, emails and the calendar all follow it.

If you move the venue to an address in another time zone, saving Settings tells you: sessions then run on the new zone, free sessions move with it, and any booked sessions that no longer fit are listed on the Schedule page for you to settle with the guests. Changing the address also moves your pin on the public map.

    12-hour or 24-hour clock#

Under Your preferences on the Settings page, choose how you read a clock: 24-hour (19:30) or 12-hour (7:30 PM). The default is 24-hour. The choice is yours alone, follows you to every venue you work at and changes only how times are printed. Times are always the venue's own local time. At the moment this card is on the owner's Settings page only, so admins and hosts cannot change their clock there.

    Troubleshooting#

    • I never got the confirmation email. Check spam, then use Send the link again. The link lasts 24 hours.
    • I closed the page during setup. Sign in again. You are taken back to the step where you stopped, with everything saved.
    • “Submit and open the dashboard” is greyed out. The line under the button says what is missing: a room, your invoicing details, Peppol or Stripe.
    • Stripe says the country is unknown. Choose your country from the list in the venue details (or in Settings after setup), then try again.
    • My venue is awaiting verification and not live. A venue never goes live by itself: we approve it by hand. We can only approve it once Stripe reports that it can take payments, and, for a Belgian venue, once Peppol is active. Finish those steps, then wait for our approval email. See Connect Stripe & get paid.
