    Rooms

Add a room with its story, photos, price, group size and difficulty.

A room is one game you run. Players book a room, not a seat: one session is one booking, and a group takes the whole room. Everyone on the team can see your rooms. Owners and admins add and edit them.

    The Rooms page#

Open DashboardOperateRooms. Each room is a card with its players, length, price, difficulty, rating and status. Choose a room's name to open it.

    Add a room#

    1. Open the form

On the Rooms page, choose Add room. If you are not an owner or admin, the page tells you to ask an owner to add the room or to make you an admin.

    2. Fill in the room

Every field is described in the table below.

The Add a room form. A mistake is shown at its field before anything is saved.
      The Add a room form
    3. Choose Add room

The room is saved. The next screen offers Set up the schedule, View the room and Add another room.

    4. Set up its schedule

A new room has no sessions yet, so nobody can book it until you give it a weekly schedule. See Weekly schedule & slots.

The room form, field by field#

    FieldWhat to enter
    Room nameUp to 200 characters.
The storyWhat players walk into and what they have to do to get out. Printed on the room's page. At least 20 characters, at most 4,000.
GenreHorror, Mystery, Sci-Fi, Adventure, Heist or Fantasy.
    Difficulty1 (Beginner), 2 (Easy), 3 (Medium), 4 (Hard) or 5 (Expert).
Min players, Max playersThe group sizes the room takes, from 1 to 50. The maximum cannot be lower than the minimum.
Game duration (minutes)How long the game runs, as players see it. From 10 to 600 minutes.
Slot length (minutes)The game plus the reset before the next group. It can never be shorter than the game. It follows the game duration plus 15 minutes until you set it yourself. The start times of the room must be at least this far apart.
PricedPer person, Per game (whole group) or Per group size. See below.
Photos of the roomAt least one, up to 10. JPEG, PNG or WebP, up to 8 MB each. The first one is the cover players see. Use Make cover to move another photo to the front, or Remove to drop one.

    Pricing#

    • Per person: enter Price per person (EUR). A group pays that amount for each player.
    • Per game (whole group): enter Price per game (EUR). The group pays one price, whatever its size.
    • Per group size: a row appears for every group size from the minimum to the maximum number of players, and each needs a price (2 players (EUR), and so on). Fill in the minimum and maximum first. Every size needs a price, so that no group falls through a gap.

Type prices in euros, like 25 or 24,50. Players also pay the service fee on top, which is not part of your room price. See Connect Stripe & get paid.

    Edit a room#

    1. Open the room

On the Rooms page, choose the room's name. The room page shows its details and photos.

    2. Choose Edit room

The same form opens with the room's current values. Change what you need and choose Save changes.

Editing a room. The form is the same as when adding one.
A room's page with the edit form open

A room that was priced “on request” shows its price, but the price cannot be changed here. Everything else can.

Settings only an owner can change#

Three things sit apart from the form, because they are commercial settings of the venue. Only the owner can change them.

    Records escape times#

On the room page, the Records escape times switch says whether your team logs how each group did: whether they escaped, and their time. It is off for a new room.

    • On: log each session's result once it is over. Logged times put players on the leaderboards and count toward their escape rate and best time. A session nobody logs still counts as played 24 hours after it ends, just without a time.
    • Off: every booking counts as played as soon as the session ends. No times are recorded.

See Logging escape times and Game outcomes & leaderboards.

The Records escape times switch and the VAT rate, below the room's details.

    VAT rate#

Only for companies in Belgium, whose room invoices MyEscapeRoom issues in your name. The VAT rate panel lets you pick the rate for this room's invoices: Company default, 6%, 12% or 21%. Prices stay as they are, because they already include VAT. Only how an invoice splits the price changes. See Invoicing & VAT profile.

    Payment policy for one room#

A room follows the venue's payment policy unless you override it. On DashboardSetupSettings, the Per-room overrides card has a select for each room: Inherit, Online only, Pay at the venue or Both. Online options need a connected Stripe account.

    Good to know#

    • Visibility. A room you add to a live venue is visible to players as soon as it exists, and bookable once it has a schedule. At a venue that is awaiting verification it appears after verification.
    • Ratings. The rating on a room's card comes from player reviews. It shows a dash until there are some.
    • Removing a room. During setup you can remove a room with Remove. Once the venue is set up, the dashboard has no button to delete a room.
