    Special schedules & closures

A different week for the holidays, and closed days when you are shut.

    Last updated

Your weekly schedule repeats every week. Two tools on the same Schedule page cover the weeks that are different:

    • A special schedule replaces the weekly schedule between two dates. Use it for a holiday week when you run weekend hours on weekdays, or for an event.
    • A closed day removes all sessions on one day. Use it for Christmas or a day the room is out of use.

Both live on DashboardOperateSchedule, one room at a time. An owner or an admin can change them. A host can see them.

How they override the weekly schedule#

For each day, MyEscapeRoom decides the sessions in this order:

    1. If the day falls inside a special schedule, that special schedule's times for that weekday are used. Otherwise the weekly schedule in effect that day is used.
    2. If the day is a closed day, there are no sessions, whatever the schedule says.
    3. Sessions you added by hand for one day (one-offs) and sessions you removed by hand still apply on top.

The weekly schedule is not changed by a special schedule. It carries on before and after. Saving a new weekly schedule never deletes a special schedule either.

    Create a special schedule#

A room needs a weekly schedule first. The Special schedules panel only appears once the room has one.

    1. Open the room's schedule

Go to DashboardOperateSchedule and pick the room in the Room menu.
    2. Start a new special schedule

In the Special schedules panel, choose Add special schedule.
    3. Set the dates

Fill in From and To (included). Both days count, so a week from Monday to Sunday is seven days. A Note (optional), such as "Autumn holiday", helps you recognise it later.

    4. Choose a starting point for the times

Under Start from pick one, then change whatever you need:

      • Copy regular schedule: the weekly schedule in effect on the first day. This is the default.
      • Weekend times every day: the regular Saturday times on all seven days. This is the usual holiday wish.
      • Start empty: no sessions on any day.
    5. Adjust the week

The week editor works like the one for the weekly schedule: add times to a day, remove them with the cross on a chip, and use Copy to weekdays or Copy to weekend. Starts must be at least one slot length apart, or the form cannot be saved.

A special schedule: the dates, the starting point, and the week of times it runs.
The New special schedule form with dates, a note and a week of times
    6. Save it

Choose Add special schedule. The room's slots are updated at once. The panel lists it with its dates, number of days, note and a one-line summary of the week. While it is running it shows a Running now label.

    Change or delete one#

Each special schedule in the list has Edit and Delete. Editing opens the same form with the current values. You can edit one that is already running, including its start date in the past. Only days from today onwards matter for sessions.

Deleting asks you to confirm. From then on the weekly schedule applies on those days again: free sessions are changed to match it. Booked, held, walk-in and locked sessions stay as they are. A special schedule disappears from the list once its last day has passed.

    Rules#

RuleWhat you see if you break it
The end date is not before the start date."The end date is before the start date."
At most 100 days, first and last day counted."A special schedule runs at most 100 days. For longer, change the weekly schedule."
The period has not already ended."That period has already ended."
Not more than a year ahead."That is more than a year ahead; sessions can be planned up to a year out."
Two special schedules of one room never share a day."Another special schedule already covers some of those days. Change its dates first."
Start times at least one slot length apart. The overlapping times turn red, and the button stays disabled (the server refuses it too).

Sessions are only created inside the booking window. If a special schedule starts further ahead than the window reaches, its sessions appear as the window rolls forward.

A special schedule belongs to one room. For a holiday week at the whole venue, add one to each room.

    Closed days#

The Closed days panel lists the days ahead on which the room has no sessions. It works on single days: to close for a week, add each day, or use a special schedule with no times.

    Close a day#

    1. Pick the day

In Closed days, fill in Day. Add an optional Note, such as "Christmas".
    2. Choose who it applies to

Close for is This room only or All rooms. With All rooms, every room at the venue is closed that day.

    3. Close it

Choose Close this day. The free sessions that day are removed. The day shows in the list, with an All rooms label when it applies to the whole venue.

Closed days: one for this room only, one for all rooms.
The Closed days panel with two closed days listed

    Reopen a day#

Use Reopen next to the day. A day closed for all rooms is reopened with Reopen for all rooms; a room cannot reopen a day the whole venue closed. Reopening makes the schedule create the sessions again.

If a day is closed for this room and for all rooms at the same time, the page says so, and it stays closed until both are reopened.

What happens to bookings on a closed day#

Closing a day never cancels anything. Only free sessions are removed. A session that is already booked, being booked, locked or a walk-in stays, and shows in a Needs your attention notice on the Schedule page as "on a day the room is closed". Contact those guests and, if needed, cancel the booking with a refund.

You cannot close a day that has passed. You also cannot add a one-off session on a closed day. Reopen it first.

    What players see#

Players see the sessions that exist. On a special schedule day they see its sessions, on a closed day none. There is no separate label for them. The same goes for your booking widget and the API.
